Enrolment is won in the first reply

An education enquiry has a short half life. A prospective student who fills in a form is usually filling in other providers' forms too. Many enquiries are answered from an inbox shared by an admissions team that is also processing applications, chasing documents and running open days. The reply arrives after the decision has started moving.

The work behind the enquiry is where it gets awkward. Course data lives in one system, the application record in another, timetables in a third, and the student record system is often old and guarded. An agent that answers well but cannot see whether a document has been received is a nicer version of a holding message.

We build both halves. The agent that takes the call or the chat, and the integration layer that lets it read a course catalogue, check an application, book a campus visit and write back to the student record. We treat the enquiry as an operational pipeline, not a marketing channel, because that is where enrolment is actually won or lost.

What makes it hard

The constraints that shape education systems

Enquiry volume arrives in waves

Enquiries do not arrive evenly. Results days, clearing windows and application deadlines produce days where the phones and the inbox take far more than a normal day, and staffing for the peak is not affordable.

Answers have to be exact

Entry requirements, fee structures, visa conditions and credit transfer rules change by course and by intake. A confident wrong answer about eligibility is worse than no answer, so an agent that improvises instead of citing the current rule is unsafe.

Student records are hard to reach

Student information systems are old, heavily customised and often on premise. Read access is granted slowly and write access more slowly still, so the integration work is usually the long pole, not the conversation design.

Overseas enquiries arrive overnight

Many enquiries come from overseas applicants, sometimes through a recruitment agent, arriving at night in your office hours and not in English. An answering service that only works in office hours and in one language leaves those enquiries waiting.

Application and enrolment workflow

The pipeline behind the enquiry: document upload and checking, conditional offer tracking, deposit and fee steps, and the reminders that chase a missing transcript before the intake closes rather than after.

Staff and faculty systems

Multi campus HR and staffing platforms for academic and support staff: contracts, timetabled hours, sessional pay, onboarding and leave, built so a department head sees only their own people.

Where a rule is conditional, on qualifications, funding or visa status, the agent gathers the facts and hands the judgement to an advisor rather than guessing.

Usually, and this is where a large part of the engineering goes. We have integrated with hosted and on premise systems through APIs, database views, SFTP file drops and, where nothing else exists, a scheduled sync. We start read only so nothing can be written incorrectly, then add write actions once the flows are proven.

That is the case we design for. Voice and chat capacity scales horizontally, so a peak day is answered the same way a quiet one is, without a callback backlog building up. Advisors stop taking first line questions and spend the day on the conversations that need judgement. Everything is transcribed, so you can see what was asked and where the pressure was.

Yes, because the work splits. Phase one is the grounded agent answering from your published course pages and prospectus, read only, with no writes to the student record, so it can go live before the integration is finished. Phase two adds application status lookup, then write back. For phase one you need a named owner for course content, an escalation rota for handovers, and a decision on what the agent must never answer.
